Exsportia is a comprehensive solution for sports venues and their customers. Businesses receive the Back-Office—a CRM tailored to the sports industry that they can customise. Venues also benefit from a custom mobile booking app, eliminating the need for back-and-forth communication via phone calls or messengers. The app is always up-to-date and works in the background.

From 2021 to 2023, I worked at Exsportia on their customer mobile app. During that time, I took ownership of the development of a new design system as well.

Before implementing the design system, Exsportia experienced inconsistencies in designs across its products. The apps were mostly hardcoded, and the development process was slow, bulky, and unoptimised. Furthermore, there was a gap between the work of the designers and the development of the apps.

## Why we made a design system

The main goals of implementing a design system were:

* To reduce design and development time by providing reusable components;

* To improve collaboration between designers and developers and eliminate the gap between designs and actually developed applications;

* To systemise the workflow and minimise delays;

* To improve the user experience by providing a consistent and scalable design language and interface across all products and services.

## The process

### Design audit and implementation

I began by examining the existing components and assets, as well as evaluating the current state of the production apps. The goal was to make the existing components more flexible, scalable, and reusable. This involved performing a complete cleanup of the Figma library files, restructuring components, optimising them, and removing any obsolete ones. I also named all the layers 🫢.

Upon evaluating the adoption of components within the Back-Office, we discovered that only `24%` had been implemented, with the remaining `76%` hard-coded within the app. Since the customer app had no components at all, we reworked the design and gradually adopted components over the course of several months, adding them piece by piece. You can learn more about the process of implementing components for the customer app by referring to our case study.

After evaluating the design system, we prioritised future components updates and began the long work. While there is always a boost of motivation when starting a new design system, the work eventually becomes routine, including tasks such as upkeep, bug fixing, and documenting. However, this is important work that pays off in the long term. I will share more about the results in the end.

### Documentation

Initially, I began documenting in Zeroheight, which provided a Notion-like interface with useful features such as easy Figma asset integration. However, Zeroheight did not offer automated technical information input with interactive components, which we later achieved through Storybook.

### Technical ecosystem

We created a general Figma components library that distributed its components to both the Back-Office and the customer app libraries. These two libraries were connected with the React Native and React libraries of both products.

## Typography

We created a typographic system with simplicity in mind, using as few tokens as possible. The system was designed for both web and mobile, with identical styles to easily switch between the two during the design process.

We based the design system on a `4px` grid, sticking to it for most of the typographic styles. The only exception was the smallest Footnote style, which was given a preference for visual compensation and balanced line height. We also followed the Material design recommendation of using a font size of 16+px for paragraph text.

## Colour system

When you compose a colour system within a design system *(excuse me)*, it’s crucial to pay attention to a few major aspects which will shape your choice: Accessibility, Shades transparency 🆚 Solidity and Hierarchy.

### **Accessibility, of course.**

We made sure each colour passes the WCAG 2 AAA threshold. I personally prefer the [Contrast](https://www.figma.com/community/plugin/748533339900865323/Contrast) Figma plugin for quick checkups during colour exploration.

### **Shades transparency 🆚 solidity.**

We opted for transparent shades over solid colours to minimise the number of tokens and ensure visual quality control and consistency. However, more care had to be taken when selecting colour styles to avoid overlapping colours that look messy or hard to read.

Colour gradation, such as 9 shades from 10% opacity to 100%, was avoided intentionally, as this approach could damage visual consistency and slow the iteration process unless the project was extremely complex.

### **Hierarchy**

We organised our colours in a separate file within Figma—just like Typography, Icons, and Components. Colours are grouped by usage:

* `Primary` and `Projects` tokens are accent colours, varying between projects;

* `Text` and `Icon` tokens are separated to enhance productivity and enable bulk editing. `Icon` colours are slightly lighter than `Text` colours for visual compensation;

* `Label` tokens are used to provide visual cues, such as errors, notifications, highlights, and callouts. They feature solid shades for text, icons, outlines, and halftones for backgrounds;

* `Divider` and `Border` tokens are used for lines and outlines;

* `States` tokens provide the background colour of design items in different interaction states, while `Overlay` is static.

## Icons

At the moment when we needed new icons the most, we didn't have the resources to create our own custom icons set from scratch. So, I decided to look at what commercial assets were out there and narrowed it down to 5 different `24px` Figma sets.

After some careful consideration, we ultimately chose [MyIcons](https://myicons.co/) as our main UI icons set for a few reasons. First of all, it was the largest set available at the time, boasting an impressive 9,000 icons. To put that into perspective, the closest competitor, Bowcaster, only had 1,200 icons. Plus, the Myicons creators were constantly adding new icons each month, which was a huge plus.

Myicons set covered about 90% of our needs with their extensive categories (such as sports, e-commerce, payments, communication, and web controls). Also, I was able to design the missing icons myself in the same style. And in addition to the main UI icons, we used over **270** custom icons for sports, classes, amenities, and venue types.

To keep everything organised within our design system, we stored the icons as a separate file in the Figma team. And to make sure everything stayed up to date and synced with the React repository, we used the handy DSync Figma plugin. Overall, using the Myicons set ended up being a great solution for our design needs.

## Components structure

When it came to developing our design system, we didn't just rely on our own knowledge and experience. Instead, we scoured through a variety of sources - including other design systems, case studies, documentation, articles, and guides - to find the best practices out there. While our design system hierarchy did end up being quite similar to the Atomic design methodology by Brad Frost, we didn't try to shoehorn everything into a strict framework. Instead, we took the principles that made sense for our particular project and built upon them in a way that worked best for us.

As for the actual design of our components, I made sure to prioritise future flexibility and "swapability" when building each complex component. For example, the table component was a typical atomic template. With this in mind, I designed the component in such a way that designers could easily swap out each column for any functional variant preset or customise the headers for quick iterations within the attached component. By doing this, we were able to create a more dynamic and adaptable design system that could be easily tweaked and modified to meet our evolving needs.

## Upshot

Over the course of about a year and a half, we successfully implemented our design system and saw a significant increase in component adoption across both our customer and Back-Office applications. In fact, our customer app adoption rate went from **`0%`** to  **`92%`**, while our Back-Office adoption rate increased from **`24%`** to **`58%`**.

Of course, a design system is never truly "done". It needs to grow and evolve alongside the product's goals and changes. With this in mind, we continued to push forward and not rest on our laurels. In addition to the design system improvements, we also implemented Scrum framework elements to help systemise collaboration within the team. This resulted in a more polished workflow, which allowed us to deliver features **`5 times`** faster than before.

### Maps restoration for Chronica

The oddest project I worked on. I helped guys from Chronica bring old maps to life, fixing the digital versions to be printed later. Some of those maps were 300+ years old.

While travelling around the UK, I started collecting photos and stories of little shop owners. The criteria are simple: they should own a little business and work there.

### 1. Ben from **[Interesting Books and Zines](https://interestingbooks.co.uk/)**, Berwick-upon-Tweed

Dasha planned to visit two bookshops during our day at Berwick: a secondhand bookshop called Slightly Foxed Berwick and this one on the next street. We bought about 27 books during the holiday, so it was quite a planned intention.

The shop's concept is simple: Ben makes a small but fine selection of books for sale each month. Once you come here — you never feel overwhelmed with bursting shelves and endless titles you would never give attention to. Instead, you have a few thoroughly selected items accurately put on the shelves. You check each of those books — a totally different experience after Barter books in Alnwick with endless assortment.

Berwick is located on the coast of the North Sea, so it’s hard to ignore screaming seagulls all of the time. But you get used to that living by the sea; that was the first thing I asked Ben.

Once he saw the pile of books Dasha assembled on the counter — he noted that she has a quite distinctive taste in literature. And advised having a look at The Dolls by Ursula Scavenius. It’s now on our bookshelf. Then we talked, and Ben told us about the store concept, story and a few other books. The shop was about one year old. During our sweet talk, Ben came out to have a wide smile and an addictive laugh.

### 2. Mark from **[The Beehive](https://www.beehiveuk.co.uk/)**, Alnwick

I met Mark on his shift in a co-owned antique store: each of the co-owners has a specialised corner: vinyl records, homeware, old books, old toys, excavated glass artefacts and other little things. Mark is working Fridays and Saturdays. He has a section on the left from the counter.

I was in a hurry. Dasha was waiting for me outside, while Steve and Alex were waiting for us near the town gates. That's a lot of pressure. But I felt an even harder urge to ask a ton of questions to a guy from the first antique store I entered in my life.

Mark told me that the most memorable thing he encountered while dealing with antiques was an old prosthetic hand — from shoulder to fingers. There was a small nostalgic smile on his face. Another memorable piece was a rare, damaged vinyl record. Some guy brought it with a pile of other things he wanted to peddle. Then guys from the store found out about the rarity of this item. The price could be up to £1000. But because of adhered cardboard on one side, this record went for £500.

We were also talking about antiques from different ends of the world that end up in a town like Alnwick. For example, French people don't tend to be as obsessed with old strange things as British people do. When a French senior dies — relatives would seal the flat and leave it for a long time. The junk inside is not worth the hustle. Then someday, it gets cleaned and sold in bulk to free up space. Mark told me about one of the sellers, who was collecting and trading artefacts of Eastern Europe, the USSR and royal Russia. It was big amazement for me since I grew up with those things lying useless at flea markets.

Sunday, 5:15 PM. Most shops at Piece Hall usually start closing at 4:30 PM, and at 5, most doors are closed.

We saw the lonely open door on the second floor while sitting on the other side of the hall. I guessed it was a comic shop we wanted to visit — I was lucky. “People still come in, so I keep it open for a bit more”.

We talked about our favourite comic books. At first, Ross has chosen Watchmen as an ultimate classic. Then we talked about growing up reading comic books and changing tastes: “In my childhood, I was reading mostly Spider-Man, then more adult stuff like V for Vendetta or Watchmen, now I read more sci-fi books”. I felt similar because I had a big pile of Amazing Spider-Mans in my old room at my parents’ house – they were only available comic books in the press shop near our house.

I told him about the Descender series I bought while travelling around the UK for the first time, and he added it to the reading list. Then I asked him again about current favourites — memory sparkled in his eyes. He rushed to the opposite corner of the room and grabbed Something is Killing Kids, a comic book about kids imagining monsters which become real and killing kids, while local Buffy is killing those monsters. I bought it.

There is a sign saying that all thieves will be caught. I instantly asked myself if people steal from places like this, and then I asked Jan — “Yeah, people try to steal stuff from time to time, usually something small. Kleptomaniacs.”

The store itself is a small labyrinth of glass cases and shelves with eclectic objects: jewellery, tin boxes, books, weapons, maps, WW2 magazines, clothing, kitchenware, Kendo fighter statue and a lot of other items I won’t even recognise. I love these shops because you can feel different frozen eras around you.

Jan’s store has a few shelves full of various weapons — from old rusty knives and sables to muskets and rifles behind the counter. One of the shelves had a sign on it: Weapons legally deactivated. “Weapon turns into deactivated antique once no ammo is produced for it. … There must be a lot of weapons in Ukraine right now, hahah”.

On Sunday, we were wondering around Hebden Bridge and roamed to this lovely shop. Eric was sitting behind the counter and working in Photoshop on medieval Arabic illustrations on his screen. I remembered how I was restoring old maps the same way and took an interest in what it would be. Eric told me about his new book and how he is processing hundreds of digitalised illustrations. He has already written three books on Islamic design and geometric patterns, and this one was deep in progress.

Then he told me how he and his wife Kalwa opened this place couple of years ago. The shop was full of curious people and looked alive. It was touching to see such a niche place doing great while various businesses around West Yorkshire were closed during Covid. But when one door closes – a new one opens.

Passing by, definitely visit Broug's and check all the little fantastic things on the shelves. My favourites were Japanese iron teapots, Turkish bowls & plates, and French spices tins.

We were challenged to develop the platform's web experience for buyers and sellers. We took the best out of modern e-commerce and blended it with a light combination of brutalism and minimalism to keep all the attention on products. Black, white, shades of grey and bits of red for special occasions.
